Simple tax invoice template structure
Header: supplier identity, ABN, invoice number, issue date.
Body: item description, quantity, rate, subtotal, GST, total.
Footer: payment terms, bank details, notes, and remittance instructions if needed.
Fields change once the sale reaches $1,000
For a taxable sale under $1,000, a tax invoice needs to show that the document is intended to be a tax invoice, the seller's identity, the seller's ABN, the date of issue, a brief description of what was sold including the quantity and price, and the GST amount payable — either shown separately or as a statement that the total price includes GST. Once the sale reaches $1,000 or more, the invoice must also show the buyer's identity or their ABN. This distinction trips up a lot of manually built templates that were copied once and never updated for higher-value sales.
Separately, a customer is entitled to ask for a tax invoice for any taxable sale, and it should generally be provided within 28 days — except for sales of $82.50 or less including GST, where you are not required to issue one unless you choose to. On the buyer's side, a tax invoice is required to claim a GST credit only once the purchase costs more than $82.50 including GST.
Common tax invoice mistakes
- Missing the buyer's identity or ABN on a sale of $1,000 or more
- Charging GST without being registered, or forgetting to charge it while registered
- Reusing invoice numbers, which breaks reconciliation for both parties
- No clear statement of whether the total price includes GST
- Rounding GST inconsistently across line items instead of on the total
